Annual Meeting Cancellation Policy

Last Updated: October 7, 2026

The New England Society of Plastic and Reconstructive Surgeons, Inc. ("NESPRS") understands that circumstances may arise that prevent a registered attendee from participating in the Annual Meeting. The following cancellation and refund policy applies to Annual Meeting registrations unless otherwise stated during registration.

Attendee Cancellations

Requests to cancel an Annual Meeting registration must be submitted in writing to NESPRS.

  • Cancellation requests received on or before [REFUND DEADLINE] will be eligible for a refund of the registration fee, less a [ADMINISTRATIVE FEE] administrative processing fee.
  • Cancellation requests received after [REFUND DEADLINE] are not eligible for a refund.
  • Failure to attend the meeting without submitting a cancellation request does not qualify for a refund.

Registration Transfers

Registration transfers or substitutions may be permitted at the discretion of NESPRS. Requests to transfer a registration to another eligible attendee must be submitted in writing before the start of the Annual Meeting.

Any difference in registration fees resulting from a transfer or substitution may be charged to the new registrant.

Meeting Cancellation or Postponement

NESPRS reserves the right to cancel, postpone, reschedule, relocate, or change the format of the Annual Meeting when circumstances make such action necessary.

If NESPRS cancels the Annual Meeting and does not reschedule it, registered attendees will generally receive a refund of registration fees paid directly to NESPRS.

If the Annual Meeting is postponed, rescheduled, relocated, or converted to a virtual or hybrid format, NESPRS may transfer registrations to the revised meeting rather than issue refunds.

Travel and Other Expenses

NESPRS is not responsible for airfare, hotel reservations, transportation, meals, visa expenses, lost wages, or other costs incurred by attendees in connection with the Annual Meeting.

Attendees are encouraged to consider refundable travel arrangements or appropriate travel insurance when making travel plans.

Force Majeure

NESPRS will not be responsible for losses resulting from circumstances beyond its reasonable control, including severe weather, natural disasters, public health emergencies, government restrictions, labor disputes, transportation interruptions, acts of terrorism, civil unrest, venue closures, or other events that prevent or materially affect the Annual Meeting.

In such circumstances, NESPRS will determine whether the meeting will be cancelled, postponed, relocated, or presented in an alternative format and will communicate available options to registered attendees.

Refund Processing

Approved refunds will generally be issued using the original payment method. Processing times may vary depending on the payment provider and financial institution.

Any processing fees, administrative fees, or other non-refundable amounts disclosed during registration may be deducted from the refund.

Special Circumstances

NESPRS may review requests involving exceptional circumstances on a case-by-case basis. Submission of a request does not guarantee that a refund or credit will be issued.
